Define the decision behind each pipeline stage.
A stage should tell a salesperson what has been established and what must happen next. “Qualified” might mean the customer’s need, buying process and expected timing are understood. “Proposal” should mean an actual offer is being prepared or reviewed. Vague labels encourage people to move cards without improving the opportunity record.
Start with the few stages your team can use consistently. Write entry and exit criteria, identify required evidence and decide how lost opportunities are classified. A smaller pipeline with reliable updates is more useful than a detailed one that nobody maintains.
Make the sales handoffs explicit.

Follow-up needs a next action, not just a note.
Agree which interactions create a follow-up responsibility and how managers review neglected opportunities. A meeting summary is valuable context, but the record should also identify the next action and its owner. Review the quality of these commitments during adoption rather than measuring only how many opportunities were entered.
For longer B2B cycles, separate the prospect’s intended purchase from an unverified sales forecast. Teams should use consistent probability and expected-value assumptions before managers rely on pipeline reporting. Historical records imported from spreadsheets may need to be requalified.
CRM and Sales serve different points in the commercial process.
CRM describes the opportunity; Sales records the quotation and resulting order. Connect the handoff with accurate customer data and the products or services being offered. Where technical surveys or project scoping are required, decide how their findings become an approved proposal.
A won opportunity is not proof that goods were delivered, a project was completed or payment was collected. Operational and finance records remain the evidence for those events. Reports should distinguish pipeline progress from confirmed orders and realized revenue.
Verify channel connections and permissions.
Bring the actual systems used to capture enquiries to discovery.
- Website forms, email routing and source attribution need a tested destination and duplicate-handling process.
- WhatsApp, telephony, social channels and third-party lead sources require an assessment of the exact provider, access rights and connector.
- Sales-team visibility and access to customer information should match job responsibilities.
- Consent, retention and communication practices must reflect the business’s obligations; a CRM field alone does not establish compliance.
Pilot with a small, real opportunity set.
Choose several open enquiries at different stages, including one that needs technical input and one unlikely to proceed. Import only the information the team can justify and maintain. Test assignment, follow-up, quotation creation and a lost reason, then review whether the manager can understand the next steps without a separate spreadsheet.

Should every contact become an opportunity?
No. Define what qualifies as a commercial opportunity and distinguish it from general contacts, suppliers or non-sales enquiries. Your qualification process should prevent the pipeline from becoming an address book.
Can CRM connect to quotations?
Odoo CRM and Sales can work together. The implementation should demonstrate how a qualified opportunity becomes a quotation and which information is preserved.
Does CRM include every messaging integration?
No. Each external channel needs a verified integration path, permissions and failure-handling process. Identify the exact provider and workflow before including it in scope.
What data should we bring?
Provide a representative pipeline export, enquiry sources, team responsibilities and sample proposals. Remove unnecessary personal data and identify duplicates before migration.
