Odoo Sales: Quotations, Orders & Delivery Commitments
Odoo Sales organizes quotations and confirmed customer orders, with connections to stock, procurement, service delivery and invoicing. The implementation must define what is sold, how it is priced, when it is delivered and what authorizes billing. Ever Digital configures those commercial handoffs around your operation. A quotation should describe an offer the operation can fulfil.
Begin with clean products and services, understandable descriptions, units and commercial terms. A customer should be able to recognize the proposed supply, while staff should be able to identify the correct stock item or service process. Free-text lines have a place, but they should not routinely replace maintained product references.
Agree who confirms availability, delivery timing, substitutions and technical assumptions before an offer is issued. A visually polished quotation cannot compensate for an unverified specification or an impossible dispatch commitment.
Separate price calculation from authority to change the price.
Customer pricelists can express commercial rules. Permission and exception requirements need their own acceptance tests.

Different order lines can create different work.
A stocked product may require a delivery; a purchased-to-order item creates procurement considerations; a service may lead to a project or field task when configured accordingly. Choose product settings and routes deliberately. The order should create the intended downstream records without staff inventing parallel tracking sheets.
Test a mixed order rather than only a simple single-item sale. Include an unavailable item, a partial shipment and a service line. Decide who informs the customer when the original commitment changes and how the remaining obligation is tracked.
Billing policy is part of the product and contract design.
Agree whether invoicing follows ordered quantities, delivered quantities, milestones or another supported service arrangement. Finance and operations should approve the evidence that makes an amount billable. A confirmed order, a completed task and an accepted milestone represent different events.
Down payments, returns, credit notes and cancellations should be demonstrated using the agreed configuration. The purpose is to preserve a coherent commercial history and correct balances, including when the transaction does not proceed as originally planned.
Bring complex commercial controls into discovery.
Do not assume a general sales workflow covers every industry-specific agreement.
- Project retention, performance guarantees, complex contract schedules or specialized revenue treatment.
- Enforced margin thresholds, conditional credit controls and multi-level discount approval.
- Customer procurement portals, EDI, dealer ordering and custom document exchanges.
- Engineering configuration, live external pricing or technical compatibility engines.
Verify the order from the customer’s perspective and the operator’s.
Use a realistic quotation with an agreed customer price, foreign-currency consideration if relevant, partial supply and an invoice adjustment. Ask sales to explain the remaining commitment, warehouse staff to identify what should move and finance to reconcile what is owed. This exposes gaps between departments early.
For migration, prioritize active customers, product references, valid commercial rules and genuinely open orders. Historic quotations that will never proceed should not create false demand. Are CRM and Sales the same app?
CRM manages opportunities and follow-up. Sales manages quotations and orders. They can be connected, but each represents a different stage of the commercial process.
Can different customers have different prices?
Odoo supports pricelist configuration. The exact combination of customer, currency, quantity and validity rules should be tested with representative orders.
Does a pricelist stop unauthorized discounts?
A price rule is not sufficient evidence of an enforced approval control. Specify who can change prices and demonstrate the required permissions or approval behavior.
Can a sale lead to a service task?
Relevant service product and project settings can create downstream work. Test the trigger, ownership and billing connection for the chosen workflow.
