A general trading company might sell stocked electrical items today, source equipment specifically for a project tomorrow and arrange a supplier delivery that never passes through its own warehouse. Those transactions share commercial documents, but they do not share the same fulfilment path. Treating every order as a simple stock sale can create misleading availability, unnecessary purchasing and costs that are difficult to explain.
The first design decision is to separate the business models you actually use. Which products are regularly stocked? Which are purchased only after a customer confirms? Which require a supplier quotation before you can commit? Which include installation or other services? Odoo can connect these activities, but the configuration must make their differences visible to the people quoting, buying, receiving and collecting payment.

Choose the fulfilment path before choosing the automation.
A route describes how demand is supplied. It should express a real operational agreement, not be activated simply because a setting exists. Demonstrate the intended documents and stock movements for each model before applying the configuration to the full product catalogue.

Make a quotation an operational commitment.
A useful quotation identifies the actual product or service, quantity, currency, commercial conditions and promised fulfilment. Product variants and internal references help distinguish similar items; a free-text description alone cannot support dependable purchasing or inventory. For B2B trading, decide how supplier specifications, customer references and alternative products are recorded without creating a new duplicate product for each enquiry.
Odoo Sales can create quotations and sales orders, with customer pricelists where appropriate. CRM can manage opportunities that require several conversations before a quotation is ready. Agree who may change a price, approve an exception or confirm a delivery promise. If a formal margin, credit or purchase-approval rule is required, test its enforcement rather than assuming every standard form is automatically blocked at the right point.

Availability depends on the Odoo edition, hosting and subscription. Configuration, data migration and training are implementation work. Specialist connectors and extensions require a separate scope.
Give purchasing a reliable reference.
Supplier product codes, purchase units, expected lead times and quoted currencies belong in the procurement design. The same item may be purchased under a supplier reference and sold under your own reference. Define that relationship once, then test whether buyers can select the correct product without relying on a colleague’s memory or an old email attachment.
Use requests for quotation and purchase orders to record what was agreed. On receipt, the warehouse should record the quantity that arrived, including partial deliveries or a rejected line. Accounting then needs the right basis for reviewing the vendor bill. Decide which team investigates a difference between the order, receipt and bill, and what evidence closes that exception. Merely recording all three documents does not resolve a mismatch.

Understand cost before relying on a margin report.
Freight and other additional acquisition costs may affect the commercial result of an imported shipment. Odoo documents a landed-cost process with specific inventory and valuation prerequisites. Your accountant should confirm which costs belong in inventory, which are expenses and how an allocation method should be applied. The implementation needs a representative receipt and cost example, not just a checkbox enabled in settings.
Test what happens when an additional cost arrives after part of the shipment has already been sold. Confirm the valuation method and the relationship between stock valuation and accounting entries. A quotation margin calculated from an available cost value is not necessarily the final profitability of the entire deal. If management needs profitability across a project, shipment or import file, define that report and its data sources explicitly.
Agree the currency and company structure early.
A trading business in Iraq may buy in one currency and invoice customers in another. Odoo supports multi-currency documents and accounting transactions, but the company currency, exchange-rate ownership, bank or cash journals and reconciliation procedures must be agreed with the finance team. Use an example with a supplier bill, a customer invoice and a payment on a different date to validate the expected result.
Separate legal entities from operating branches and warehouses. Two stock locations do not automatically require two companies, while independent legal entities should not be represented merely by warehouse names. The structure affects access rights, accounting and reporting, so settle it before importing opening balances. This website does not claim that standard settings alone provide every Iraq tax return, government connection or statutory reporting requirement.

Keep specialist trade requirements visible in the scope.
Custom import-file tracking, letters-of-credit workflows, tender registers, unusual commission calculations, local payment connectors and document packs may require additional configuration, applications or development. Describe the needed result and provide a real sample. A generic attachment field may store a document, but that does not establish a complete controlled workflow for its preparation, approval and expiry.
For an integration, identify the source of truth for customers, products, orders, invoices and payment status. Agree how failures are surfaced and how duplicate records are prevented. Migrate a trading business through representative transactions.
Clean master data before attempting a large import. The most useful pilot includes both an ordinary stocked sale and a customer-specific procurement order. Reconcile their results with the people who own inventory and finance.
- Prepare unique product and partner references; separate duplicate records from genuinely different legal entities or product variants.
- Agree the cutover treatment of open quotations, sales orders, purchase orders, stock quantities and unpaid invoices.
- Reconcile opening stock by location and any required serial/lot identifier, and separately reconcile financial opening balances.
- Test a supplier partial receipt, a changed customer order, a return, a foreign-currency payment and the intended cost treatment.
- Document who maintains prices, product data, exchange rates and permissions after go-live, and how support requests are raised.
When this approach is a strong fit.
This approach fits trading companies that want consistent operational records across commercial, warehouse and finance teams. It works best when the business can agree shared product references and ownership of exceptions. A specialist procurement marketplace, customs-clearance platform or trade-finance system may still need to remain connected rather than be replaced by a generic ERP workflow.
Start with a defined operational scope and measurable acceptance scenarios. A Starter package can be appropriate for a bounded standard configuration, but a multi-entity migration or specialist integration requires its own assessment. The package pages remain the source for current fees and included hours; the discovery conversation determines whether that scope matches the work you need.
Questions businesses ask
Can Odoo handle several unrelated trading product ranges?
Yes. Product categories, references, variants, units and routes can represent different ranges. The implementation should identify which products are stocked, sourced for orders or delivered by suppliers. A large catalogue is useful only when those product rules remain consistent.
Can we combine equipment sales with installation?
Sales and Inventory can cover commercial and stock records, while Project or Field Service can handle the relevant service work. Equipment delivery, service completion and invoicing must be configured and tested as distinct milestones rather than assumed to be the same event.
Does Odoo calculate the full cost of imported goods?
Odoo has a documented landed-cost process, subject to the relevant product and inventory valuation setup. Your finance team must approve the cost categories and allocation approach. Customs processing, trade-finance documents and specialist import management are not promised by that feature.
Do multiple warehouses require multiple companies?
No. Warehouses, branches and legal companies represent different structures. We review the legal entities, accounting needs, access requirements and physical stock locations before choosing the configuration.
Can our company work in IQD and USD?
Odoo supports multiple currencies. The finance configuration must establish the company currency, active document currencies, rate maintenance and reconciliation procedures. Any local statutory reporting requirement is assessed separately.
What data is needed to move from spreadsheets?
Prepare product and partner references, units, prices, warehouse/location balances, open sales and purchase documents, and unpaid invoices. Agree which history is required and test a small import before migrating the operational opening position.
Will a standard package cover every trading requirement?
No single package should be assumed to cover every trading model. Starter packages define standard configuration limits and hours on their own pages. Custom workflows, advanced data migration, integrations and specialist reports need a defined scope.
