The sale needs to identify the device that actually leaves.

An electronics showroom sells more than a generic product description. Two televisions with the same model name may belong to different receipts; a demonstration unit may be unavailable for normal sale; an accessory may have a different return condition from the device it accompanies. When checkout and stock records are separate, finding the original transaction becomes a manual search precisely when a customer needs a quick answer.

Start with the identifiers your staff use at the counter and in the storeroom. A product reference identifies the model or variant. A serial number identifies an individual device. A barcode may help locate a product, but it should not silently substitute for the device serial. Demonstrate receiving, selling and returning one tracked device before importing the entire catalogue.

Build a catalogue that a salesperson and storekeeper can both use.

The right product structure depends on whether a difference changes stock identity, the customer’s choice or merely descriptive information. Too many free-text products make reporting unreliable; too many unnecessary variants make checkout harder.

Design the counter around ordinary sales and difficult exceptions.

Point of Sale can handle the retail transaction, while Sales suits quotations and orders that require follow-up before fulfilment. A shop may need both. Decide how a customer reservation, a business quotation and an immediate counter sale should differ so that staff do not create competing records for the same transaction.

The checkout pilot should include a scanned item, a manual product search, a discount, a return and the required customer invoice. Confirm permissions, payment methods and end-of-session reconciliation with finance. The exact printer, scanner, payment terminal and any local payment integration must be tested against the proposed deployment; a general POS feature list is not a compatibility certificate for every device.

Availability depends on the Odoo edition, hosting and subscription. Configuration, data migration and training are implementation work. Specialist connectors and extensions require a separate scope.

Show the difference between shop stock and stock elsewhere.

A seller needs to know whether an item is available in this showroom, reserved for another customer or held in a different branch. Odoo Inventory records warehouse and location movements. The design should state when a transfer is requested, who picks it, who confirms arrival and whether the customer can collect before that arrival is recorded.

Keep display areas, saleable stock and returns awaiting inspection operationally distinct where the business needs that separation. A location name alone does not enforce a release decision. Test how stock appears to POS and Sales, and what staff can do if the physical item is missing. Replenishment thresholds should reflect supplier lead times and actual selling patterns, not a single minimum applied to every model.

A serial number helps trace a return; it does not decide warranty coverage.

The original sale and device identity are useful evidence when a customer brings an item back. The next decision is commercial: refund, exchange, supplier return, repair assessment or a paid service. Agree who inspects the device, records its condition and decides whether it can return to saleable stock. A refund and a physical stock movement should be reconciled, rather than treated as unrelated paperwork.

A warranty process may need purchase and sale dates, supplier conditions, accessories received, fault description, approval, customer communication and a repair outcome. Helpdesk can organize support requests, but a complete warranty entitlement or repair workflow is not implied by enabling serial tracking. Assess the required applications, configuration and extensions using an actual example of an in-warranty and out-of-warranty return.

Keep retail margin and finance on an agreed basis.

Electronics retailers may purchase imported goods in a foreign currency while selling in IQD or another agreed currency. Odoo supports multiple currencies, but the company currency, price lists, rate ownership and payment reconciliation must be configured deliberately. Finance should confirm the treatment of acquisition costs and stock valuation before management relies on a margin report.

A purchase price is not always the complete inventory cost, and a displayed sales margin is not automatically a fully reconciled branch profit. If imported shipment costs or sales commissions are required, define the relevant inputs and report. Any Iraq statutory reporting or local payment requirement is assessed separately from standard multi-currency functionality.

Configuration decisions for the first showroom.

Use one representative shop to settle the core operating rules before multiplying them across branches. The aim is a repeatable process that staff can explain and finance can reconcile.

  • Catalogue: brands, model references, variants, barcodes, serial requirements and supplier references.
  • Checkout: POS versus quotation flows, staff permissions, approved discounts and supported payment methods.
  • Inventory: receiving, display stock, reservations, transfers, replenishment and returns awaiting inspection.
  • After-sales: intake evidence, device identity, warranty decision ownership and the handoff to repair or supplier return.
  • Finance: invoice requirements, session closing, cash differences, currencies and the valuation method.
  • Training: role-specific exercises for cashiers, warehouse staff and supervisors in the working languages they use.

Reconcile the shelf, the serial list and the opening balances.

Before migration, remove duplicate model references and decide which historic customer records are worth importing. Count opening stock by the locations that will be used at go-live, including tracked serials where required. Display, damaged and returned units should not be hidden inside a single opening quantity.

Test a full day: receive devices, sell one, transfer another, accept a returned unit and close the POS session. Compare quantities, serial history, invoices and payments with the expected result. Keep a documented cutover rule for transactions still open in the previous system. Training should cover these exceptions as well as the fastest normal sale.

Choose scope around the business model.

This approach suits electronics retailers that need consistent commercial and stock records across a shop or branch network. Businesses with complex repair operations, credit sales, online marketplaces or proprietary devices should bring those requirements into discovery early. They may change the application mix, integrations and testing effort.

Questions businesses ask

Can Odoo track each television or device by serial number?

Odoo Inventory supports serial-number tracking. The receipt, transfer and retail sale flow must be configured and tested so the correct device identity is recorded. Serial tracking alone does not implement warranty eligibility or a repair process.

Can one product have several colours or capacities?

Product variants can represent combinations that need separate stock identity. We review the catalogue so a true variant is distinguished from a descriptive specification or a supplier naming difference.

Can staff see stock in another branch?

Odoo can represent multiple warehouses and locations with access configured for the relevant users. The pilot must establish what staff can promise, when a transfer is confirmed and how reservations affect availability.

Will our existing payment terminal and printer work?

Compatibility depends on the device, connection method, deployment and supported integrations. Provide model details during discovery so the proposed setup can be checked and tested. We do not promise every local payment device has a ready-made connector.

Can we manage warranty returns in Odoo?

A return can be connected to its original records, and Helpdesk can organize service requests. Warranty rules, repair stages, replacement approvals and supplier recovery need a defined workflow and may require additional configuration or development.

Can we migrate stock without every old invoice?

Yes, a scoped migration can focus on clean master data, opening stock, required serials, open transactions and financial balances. The business should agree what historic information remains available in the old system and what must be imported.
